Account Consent and Registration Settings

Account Consent and Registration Settings manage user privacy, regulatory compliance, and data protection governance by configuring consent prompts, Data Protection Officer (DPO) contact information, and policy acceptance workflows. Enter DPO details (name, phone, email, address)—these appear in the footer of privacy policies shown in MRI Evolution, Evolution Connect, and Evolution Reach, enabling users to contact your organization about privacy rights, data access requests, or consent withdrawal. Configure First Login Behaviour to control consent options when users first log in, including whether to allow users to update their communications preferences (if their account is linked to a Contact) and whether to show DPO details on first login. When policies are updated, set "Consent Update Behaviour" to control consent prompts on next login, ensuring continuous compliance with GDPR and data protection regulations. The system tracks all consent actions with timestamps and user details, creating comprehensive audit trails for compliance verification. This supports legal requirements (for example, GDPR Article 7 requiring demonstrable consent), enables users to exercise privacy rights, and maintains organizational accountability for data processing activities.

Field Name	Description
Data Protection Officer	Data Protection Officer (DPO) details will be displayed in the footer of the Privacy Policies shown to users of MRI Evolution, Evolution Connect and Evolution Reach.
Officer Name	The name of the DPO.
Phone No	The phone number of the DPO.
Email	The email address where data subjects can contact the Data Protection Officer regarding privacy rights, data access requests, consent withdrawal, or data protection concerns (e.g., dpo@company.com). This address is displayed in the footer of privacy policies across Evolution, Connect, and Reach applications, making it visible to all users. Must be actively monitored as it serves as the primary channel for GDPR Article 15-22 rights (access, rectification, erasure, restriction, portability, objection). Essential for regulatory compliance and demonstrating accountability to supervisory authorities. Use a dedicated email address rather than a personal one to ensure continuity if staff changes occur.
Address	The mailing address of the DPO.
First Login Behaviour	These settings control the options available to Accounts when they are prompted for consent to the Terms & Conditions and Privacy Policy for the first time.
Allow users to update their communications preferences if their Account is linked to a Contact	Check the box to allow a User to set their communications preferences (User Account Permissions must also be granted) on first login.
Show users the Data Protection Officer details on the first consent	Check the box to allow the User to see the DPO details on first login.
Consent Update Behaviour	These settings control the options available to Accounts when they are prompted for consent to any updates to the Terms & Conditions and Privacy Policy.
Allow users to update their communications preferences if their Account is linked to a Contact	Check the box to allow a User to set their communications preferences (User Account Permissions must also be granted) .
Show users the Data Protection Office details on consent update	Check the box to allow the User to see the DPO details on change of privacy policy or T&C change.

Field Name	Description
Self Registration Behaviour	These settings control the self-registration process for Reach users, allowing external users to create their own accounts without administrator intervention. Configure whether self-registration is enabled, which account template to copy for new registrations, and how long unactivated accounts remain valid before automatic expiry.
Self Registration for Evolution Reach Users	Check the box to enable self registration for Evolution Reach Users – the SMTP configuration must be completed for this function to work.
Account to Copy for the Self Registered Users	From the drop down select the account details to copy for the Evolution Reach User.
Expiry time for unauthorised accounts	When a Evolution Reach Account is created by self registration, this field sets the length of time that the created account will remain valid, if the account is not activated.

From 4.8.0.0 Self Registration settings were moved from System Administration > General Preferences to Settings > User Accounts > Account Consent & Registration Settings

Complete the fields and click Save . Once the Account and Consent header has been completed and saved a sub navigation will appear to allow access to all user messages for Account Consent and Registration.
