Table Register

The MRI Evolution system is based on a large back end database. This database contains all the Users, Preferences and data entered.

There are a wide range of functions that can be altered within the Table Register; these include; how the text in the drop down menus is displayed or allowing hazards and documents to be associated. It is also the gateway to define compulsory or unique fields that are linked with each table.

A vertical scroll bar has been added to the page because when a system has many modules licensed, some of the fields were not visible unless the page size was increased.

Settings > System Administration > System Appearance & Behaviour > Table Register

The link will open the Table Register grid. It is a grid view which can be searched, sorted and customised as normal.

Field Name	Description
General
Name	The name of the table – it is highly recommended that MRI Evolution table names are not manually altered.
Maximum Page Size	The maximum page size is used to limit the Users display options. Parts of the system are able to show grids of varying sizes, maximum page size puts a cap on this size.
Default Page Size	The default page size is the number of records a grid shows.
Display Format	Defines the display text shown for records in grids, screens and drop downs.
Sort By Column	Available from 6.2.0.0 Select a field that will be used to sort grid records when the current entity is included as a foreign key relationship on a grid of different entity and the user clicks the column header of the foreign key field to sort the different entity's grid. For example: The Asset (FASSET) entity has a Sort By Column value defined. Asset has been added to the Tasks grid as a foreign key relationship. A user can click on the Asset column header in the Tasks grid and the Tasks grid will be sorted by the Sort By Column defined against the Asset entity. With no Sort By Column value selected, the first/only column of the Display Format defined above will be used to sort
Store Documents?	Check the box to enable the entity to store documents.
Store Property Groups?	Check the box to enable the entity to store attributes and properties.
Allow Hazards & Alerts?	Check the box to enable the entity to store hazards.
Display Events?	Check the box to enable the entity to display events.
Store Attributes?	Check the box to enable Smart Attributes to be stored against the table - Attributes module required. Available from 7.0.0.0 The Purchase Key licence dependency for this specific element of the system has been removed and is now included as standard in the core MRI Evolution product the feature has been turned on for all systems by default. Note: Other restrictions, such as User licence type restrictions and / or any restrictions to underlying functionality that is dependent upon Purchase Key licences will remain in place.
Allow PMS Core Values	Check the box to enable PMS Core Values to be stored against the table - PMS module required.
Publish Mobile Data?	Check the box to enable to entity for mobile data to be published – Evolution Go module required.
Mobile Audited?	Check the box to enable to entity to enable mobile audits - Evolution Go module required.
Store BIM Documents?	Available from 4.6.0.0 Check the box to enable BIM Documents to be stored against the table - BIM Management module required. Grid and input panels for entities other than FLOCATE will not enable the tool bar buttons
Allow Work Surveys?	Available from 5.5.0.0 Check the box to enable Work Surveys against the entity. The check box is only enabled for the following entities: Sites - F_BG_GROUP Buildings - FLOCATE Locations - FAREALO Instruction Sets - FINFILE Hazard / Alert Types - HazardTypes Work Permit Classes - F_WPERMIT_CLASS When enabled, a Surveys sub navigation will appear in the input panels of the entity, similar to Hazard / Alert Types.
Allow Supply Chain Surveys?	Available from 5.5.0.0 Check the box to enable Supply Chain Surveys against the entity. The check box is only enabled for the following entities: Resources - F_RESOURCE Suppliers - FSUPPLY When enabled a Surveys sub navigation will appear in the input panels of the entity, similar to Hazard / Alert Types.
Allow Identity Tags	Check the box to enable Identity Tags against the entity. This option will only appear when the Identity Tags Purchase Key has been licensed. When enabled an Identity Tags sub navigation will appear in the input panels of the entity, similar to Hazard / Alert Types. Available from 7.0.0.0 The Identity Tags field has been repositioned on the page. The Purchase Key licence dependency for this specific element of the system has been removed and is now included as standard in the core MRI Evolution product the feature has been turned on for all systems by default. Note: Other restrictions, such as User licence type restrictions and / or any restrictions to underlying functionality that is dependent upon Purchase Key licences will remain in place.
Publish MRI Dreamscape Data	Available from 5.3.0.0 Check the box to enable MRI Dreamscape publishing - MRI Dreamscape applications required. Available from 7.0.0.0 The Dreamscape Data field has been repositioned on the page.
Grid Behaviour
Offload grid prints and exports?	Check the box to enable MRI Evolution to offload the printing and exporting of data in the current grid. Offloading will allow the printing or exporting of the grid to 'run in the background' and allow users to continue using the system without the need to wait for the process to complete.
Threshold for Offload activation (Rows)	Optionally enter a number (of rows in the grid) to be the threshold for automatically offloading the printing and exporting the current grid. The Offload grid prints and exports? option above must be enabled to use this feature.
Allow Select All	Available from 4.7.0.0 Check the box to enable a 'select all' check box to appear at the top of the current system entity's grid. Checking the 'select all' box will highlight/select ALL records in the grid, even in pages not currently displayed. Users can then perform relevant actions against the selected records, such as changing the status via toolbar buttons. The grid must be a 'multi-select' grid, such as the Tasks grid, to utilise this functionality. If this function is used within an assignment grid the "Assign Selected" should be used to ensure all entities are assigned. Using "Assign Page" will only assign the current page.

Complete the fields and click Save . From the Table Register header a sub navigation can be accessed to allow additional features to be enabled.

Within the Table Register specific fields can be modified to enable certain features.

Settings > System Administration > System Appearance & Behaviour > Table Register

The link will open the Table Register / Table Fields grid. It is a grid view that can be customised and sorted as normal.

To edit a Table Field, highlight the Table Field and click Edit .

Field Name	Description
Field Name	The name of the Table Field.
Description	Free text description of the Table Field.
Unique?	Check the box to have the system prevent the same value being entered in the field against more than one record.
Audited?	Check the box to turn on the audit trails for the Table Field.
Searchable?	Check the box to make the Table Field searchable in the quick search function.
Full Text Indexed?	Read-only check box to display whether a full text index has been applied to the field in the database. A field that has a full text index won't require a wild-card character to perform a fuzzy search. Typically it's used on fields like TA_SHORT_DESC or IN_DESCRIPTION so that users can find Tasks or Instruction Sets with a partial match to a search term, without having to specify % in front of their text.
Is Editable?	Available from 5.0.0.0 Check the box to enable the field to be editable directly in grids, negating the need for users to open the input panel to make changes to the contents of the field.
Edit Type	Available from 5.0.0.0 From the drop down, set the appropriate type for entering data directly in grids. The values in the drop down are context sensitive and will depend upon the type of data that is stored in the field. For example, a text field, such as a Description, will have the following options to choose from: Default Text Box Comment Numeric fields will have a different set of drop down options to choose from, as would date fields and so on.
Display Order	Available from 5.0.0.0 This field displays the 'out of the box' system default column order for the field/column in its primary grid. Users can optionally, set their own numeric value to override the default display order. A value of 1 means the current field will be the first column in the grid, a value of 2 will be the second and so on. This setting will be overridden if a grid is personalised or used in a grid that includes fields from linked entities
Display Type	Available from 5.0.0.0 Users can optionally set the field display type for displaying data in grids. The values in the drop down are context sensitive and will depend upon the type of data that is stored in the field. For example, a 'binary' field will have the following options to choose from: Default True or False Check-box Available from 6.4.0.0 A Display Type of Currency has been added.
Footer Type	Available from 5.0.0.0 Grid columns that contain Numerical data can have the column's data summarised in the column's footer. The summarised value in the Footer will reflect the data displayed in the grid. In other words, if the grid is filtered in some way and showing less records, the summarised value will be based upon the data in the filtered grid. Select from the following aggregation options: None Sum Maximum Minimum Average
Footer Text	Available from 5.0.0.0 Standard text can be added to the column footer. The text will appear before the aggregate summary. For example: Max value = 123.45
Filter Type	Available from 5.0.0.0 From the drop down select the grid column heading filter type for the current field. The values in the drop down are context sensitive and will depend upon the type of data that is stored in the field. For example, a date field will have the following options to choose from: Default Single Date Date Range Date Time Range Some other examples of grid Filter Type options for different types of data are as follows: Number Range Auto-Complete Multi-Select The Multi-Select Filter Type function will only work with direct foreign keys e.g. AR_FKEY_BG_SEQ
Wrap Text	Available from 7.0.0.0 Check the box to enable the text in this field to wrap and have the grid row grow vertically to accommodate the text when the field appears as a column in a grid.

The editing and display features will vary and filter dependant on the field selected.

Validation Rules

Rules can be created to control data as it is entered e.g. Req IDs are unique or that email addresses contain an @ symbol.

Settings > System Administration > System Appearance & Behaviour > Table Register

The link will open the Table Register / Validation Rules grid. It is a grid view which can be searched, sorted and customised as normal.

To add a new Validation Rule click New , to edit an existing Validation Rule click Edit . A pop up window will appear which will allow the creation or amendment of a Validation Rule.

Field Name	Description
Rule Name	The name of the Validation Rule.
Enable	Check the box to enable the Validation Rule.
Failure Message	Free text field to create the message a User will see it the Validation Rule is not met.
All States	Check the box if the rule is to apply regardless of the state of the entity – if the rule is only to apply when an entity is in a certain state or states, uncheck the box and click the required states.
All Applications	Check the box to apply the Validation Rule to all applications – if the Validation Rule is only to be applied in MRI Evolution and not Evolution Reach and Evolution Connect; uncheck the box and check the required applications.
All Profiles	Available from 5.1.0.0 Check the box to apply the Validation Rule to all Account Profiles - if the Validation rule is only to be applied to certain profiles uncheck All profiles and check the required profiles.
Field	From the drop down select the field the Validation Rule is to be applied to.
Rule Type	Select the radio button to set the rule type: Required Field – the field must be completed. Unique – the field cannot be a duplicate of another record. Field Comparer – the field data meets specific values or thresholds. Regex Template – the field must meet a regular pattern e.g. capitalised first letter. Regex Rule – the field must meet the expression typed here e.g. mobile numbers must start “07”. Read Only Field – the field is read only and cannot be edited.

Translation Strings

Translation Strings are the thousands of labels from across the system. These can be altered to fit a business need.

Settings > System Administration > System Appearance & Behaviour > Table Register

Highlight the translation string to edit, click Edit . A pop up window will appear which will allow the amendment of a Translation String.


Resource Key	Auto-populated with the name of the Resource Key.
Value	Editable value for the Translation String.
