PPM Issue Templates in MRI Evolution automate the scheduling and issuance of Planned Preventative Maintenance (PPM) tasks, ensuring timely maintenance and regulatory compliance. This integration allows organizations to define rules for auto-Issuing PPM Tasks based on frequency, contract, and operational requirements.

Workflow: Users can create and configure PPM Issue Templates, specifying advance issuance periods and linking them to contracts and PPM settings. The system automatically generates and assigns PPM tasks according to these rules, reducing manual effort and supporting proactive maintenance management.

Example: A maintenance planner sets up a PPM Issue Template to auto-issue quarterly PPMs 30 days in advance. The system generates the tasks, notifies relevant teams, and ensures all maintenance is scheduled and tracked within Evolution.

PPM Issue Templates

The link will open the PPM Issue Template grid. It is a grid view which can be searched, sorted and customised as normal.

To add a new PPM Issue Template click New , to edit an existing PPM Issue Template click Edit . A pop up window will appear which will allow the creation or amendment of a PPM Issue Template.

Click the button to run the OP-MT018b Template Auto Issue Integrity report.

Field Name	Description
Name	The name of the PPM Issue Template.
Description	The description of the PPM Issue Template.
Apply Default	Check the box to apply auto-issuing to the "default number of days in advance" to any PPMs that do not match a PPM setting.
Default Days in Advance	The default number of days in advance the PPM Templates will be issued by.

Complete the fields and click Save . Once the PPM Issue Template header has been completed and saved a sub navigation will appear to allow additional entities to be created / assigned.

The PPM settings allow the rules to be set for PPM auto-issuing e.g. weekly PPMs can be set to auto-issue 1 day in advance and 3 monthly PPMs could be set to auto-issue 7 days in advance.

PPM Settings must be unique to the Issue Template e.g. the same setting cannot be repeated within the same template.

Field Name	Description
Period	The calendar time period (typically Monthly, Quarterly, or Annually) that groups PPM templates with similar maintenance frequencies together for batch generation and scheduling. This organizational grouping determines when the system's PPM Issue Template batch process will check for templates matching the specified frequency and generate upcoming PPM tasks. For example, Monthly period groups all weekly, fortnightly, and monthly maintenance schedules; Quarterly period handles quarterly and bi-annual schedules; Annual period covers annual and multi-year inspections. The period setting works with "Days in Advance" to determine exactly when PPM tasks are created before their due date, enabling efficient advance planning and resource allocation. Essential for organizing preventive maintenance schedules, ensuring statutory compliance, and preventing reactive maintenance by generating planned tasks systematically.
Frequency	The specific recurrence interval (e.g., Weekly, Fortnightly, Monthly, Quarterly, Bi-Annual, Annual, 2-Yearly, 5-Yearly) that determines how often preventive maintenance tasks are automatically generated for PPM templates matching this period grouping. The frequency defines the regular pattern of inspections, services, or maintenance activities required to maintain assets in safe, operational condition and comply with manufacturer recommendations, statutory regulations (LOLER, PUWER, gas safety, electrical testing), and insurance requirements. When the PPM Issue Template batch process runs, it identifies all templates with this frequency within the defined period, checks their last completion date, calculates the next due date, and generates new PPM tasks if they fall within the "Days in Advance" threshold. Critical for systematic asset lifecycle management and regulatory compliance.
Days in Advance	The days in advance PPMs that meet he criteria are to be issued.

Complete the fields and click Save and Close .

Repeat the process until all required PPM Settings have been created.
