Widget - Conference Booking

Conference Booking Widgets allow Conference lines and Video conferences to be booked. The conference lines and ports must first be created as Locations with a valid Location Type to enable the Conference Booking widget to work.

Business Value: This widget streamlines the process of booking conference resources, improving scheduling efficiency and resource utilization.

Action: Set up conference lines and ports as Locations, then use the widget to book and manage conference sessions directly from the system interface.

Settings > Widgets & Home Pages > Widgets > Widget - Conference Booking

The link will open the Widgets grid. It is a grid view which can be searched, sorted and customised as normal.

To add a new Widget click New , to edit an existing Widget click Edit . A pop up window will appear which will allow the creation or amendment of a Widget.

Select the Widget template : Conference Booking. Complete the fields and click Save . Click Configure Widget .

General
Advanced Booking Limit	Enter the number of days in advance a conference can be booked - leaving the generic 0 will count as no limit.
Conference Equipment Requirements
Ports Needed	Enter the number of ports required for each meeting - the ports must be set up as virtual Locations with a matching Location Type to the next drop down.
Select the room type that defines the conference ports
Location Type	From the drop down select the Location Type used to identify virtual Locations as Ports
Select the Building to which remote site Attendee records will be linked
Building	From the drop down select the Building Register- it is suggested that a virtual Building may be required as Attendees will not physically be entering a Building, but record may need to be keep of whom attended. Available from 7.0.0.0 It is possible to display the relevant parent/child relationship data in this auto-complete by enabling the Enable Hierarchical Auto-Completes option in the General Preferences page.
Please select which optional fields should be visible and optionally set a default value
Chair, Chair Email Address, Description, User Defined, Course, Booking Type	Check the boxes to make the required fields visible when making a Conference Booking.
Select the User Defined flag(s) this widget will return
AV, Video Conf, Tele Conf, Catering, Window, IT Facilities, Disabled Access	Check the boxes for the user defined flags that must match the Location User defined flags for the Locations to become bookable.

Complete the fields and click Save and Close .
