Rent Register

The Rent Register window allows details to be recorded of any Rents and their payments defined against the Leases on the system.

Available from 7.0.0.0

The Purchase Key licence dependency for this specific element of the system has been removed and is now included as standard in the core MRI Evolution product the feature has been turned on for all systems by default.

Note: Other restrictions, such as User licence type restrictions and / or any restrictions to underlying functionality that is dependent upon Purchase Key licences will remain in place.

Facilities > Property and Estates > Rent Register

The link will open the Rent Register grid. It is a grid view which can be searched, sorted and customised as normal.

To add a new Rent Register click New , to edit an existing Rent Register click Edit . A pop up window will appear which will allow the creation or amendment of a Rent Register.

Field Name	Description
Rent Information
Rent Number	Unique reference number for this rent charge (e.g., "RENT-2024-001", "LEASE-123-RENT"). Used to track and report on rent payments, reviews, and history throughout the lease lifecycle. Appears on payment records, financial reports, and audit trails. Once assigned, this number should remain unchanged as it links to payment history and accounting records. Essential for reconciling rent payments, tracking multiple rent charges per property, and maintaining clear audit trails for lease administration.
Description	The Rent description.
Lease ID	From the drop down select the Lease Register id - for more information see Lease Register.
Building	From the drop down select the Building - for more information see Building Register. Available from 7.0.0.0 It is possible to display the relevant parent/child relationship data in this auto-complete by enabling the Enable Hierarchical Auto-Completes option in the General Preferences page.
Location	From the drop down select the Location - for more information see Location Register. Available from 7.0.0.0 It is possible to display the relevant parent/child relationship data in this auto-complete by enabling the Enable Hierarchical Auto-Completes option in the General Preferences page.
Rent Details
Current Payable Rent	The current rent payable.
Rent Payable From	The date the Rent is payable from.
Initial Rent Amount	If the initial rent payment differs from the standard payment enter the original payment.
Payment Frequency	From the drop down select the payment frequency.
Is Tax Applied	Check the box if tax is to be applied
Tax Applied	If tax is to be applied enter the tax applied.
Notes Tab
Notes	Notes applicable to the Rent register.

Complete the fields and click Save . Once the Rent Register header has been completed and saved a sub navigation will appear to allow additional entities to be assigned.

To add a new Rent Payment click New , to edit an existing Rent Payment click Edit . A pop up window will appear which will allow the creation or amendment of a Rent Payment.

Fields	Descriptions
Due Date	Enter the date the rent is due,
Amount	The monetary value of this rent payment in the contract currency (e.g., $5,000.00, $12,500.00). Represents the amount due for this specific payment period, which may be monthly, quarterly, or annual depending on lease terms. Used to track actual payments against expected amounts, identify arrears, and calculate total rent expenditure. This amount may differ from the base rent if adjustments, service charges, or index-linked increases apply. Essential for cash flow forecasting, budget tracking, and ensuring compliance with lease payment terms.

Periodically rents are reviewed and changes may be made. The rent review allows this information to be recorded.

Field Name	Description
Rent Number	Auto-populated with the Rent Register number.
Rent Description	Auto-populated with the Rent description.
Current Rent	Auto-populated with the current Rent.
Paid From	The date the current Rent has been paid from.
Review ID	Unique reference number for this rent review event (e.g., "RR-2024-Q1", "REVIEW-001"). Used to track the rent negotiation process, link supporting documentation, and maintain an audit trail of review outcomes. Each review represents a potential rent change triggered by lease terms (e.g., 5-year review clause, market rent review, index-linked adjustment). Essential for managing multiple reviews across your property portfolio, tracking review deadlines, and demonstrating compliance with lease review clauses. Links review negotiations to the resulting New Rent amount if agreed.
Review Date	The review date this will auto-populate with the date the Rent review is created.
New Rent	The revised rent amount agreed following this review (e.g., increased from £50,000 to £55,000 per annum). Represents the outcome of rent review negotiations, whether increase, decrease, or no change. This amount becomes the ongoing rent payment value from the Rent Due date onwards. May result from market rent review, index-linked adjustment (RPI, CPI), turnover rent calculation, or fixed percentage increase per lease terms. Critical for budget forecasting, demonstrating rent value changes over time, and updating payment schedules. Once implemented, supersedes the previous Current Rent amount.
Rent Due	The date the new Rent is due from.
