Facilities Booking Overview

Facilities Booking Module provides complete management of organizational space usage—covering meeting rooms, training suites, hospitality areas, hot‑desking zones, and specialist facilities (for example, lecture halls, video conferencing rooms, event spaces)—using Booking Planner, Advanced Room Selector, Facilities Bookings grid, and Planned Booking Events to centralize availability, workflow, and preparation. Create one-off Facilities Bookings (for example, single board meeting), recurring Facilities Bookings (for example, weekly team meetings every Monday 9-10am), or complex series (for example, training course running Tuesdays and Thursdays for 6 weeks) with automatic clash detection to prevent double-booking. Use Planned Booking Events to schedule set-up tasks (arrange furniture, test AV equipment), catering delivery (coffee at 9 am, lunch at 12:30pm), and post-booking clean-up (reset room layout, clear refreshments), ensuring rooms are prepared correctly for each Facilities Booking. The visual Planner offers calendar/timeline views with drag-and-drop adjustments for rapid rescheduling when meetings change. Typical outcomes include increased space utilization (identify underused rooms in utilization reports), reduced double-bookings (automatic clash detection), consistent room readiness (standardized set-up through Planned Events), improved service response (Waiting List captures unmet demand), and actionable analytics for strategic space planning decisions.

Icon Feature Description
Advanced Room Selector The Advanced Room Selector in MRI Evolution enables users to create and manage recurring room bookings efficiently, supporting meetings and events that repeat over weeks or months. This tool streamlines the process of scheduling multiple Facilities Bookings, saving time and reducing errors. Users can specify Facilities Booking patterns, dates, and requirements to ensure rooms are reserved as needed. To use the Advanced Room Selector, open the tool and follow the prompts to set up your recurring Facilities Bookings according to your organization’s needs.
Booking Planner Use the Facilities Booking Planner to view, create, and manage Facilities Bookings in a visual calendar. Filter by building, room type, or attendees to find available slots and optimize resource use.
Facilities Bookings The Facilities Booking grid shows all Facilities Bookings, including cancelled ones if Show/Hide Historic records is enabled. Use this grid to create, manage, or edit Facilities Bookings efficiently.
Planned Booking Events Planned Booking Events are forward‑scheduled activity placeholders that you add against a Facilities Booking to make sure all supporting actions for the Facilities Booking happen on time. They appear in this grid once created; the Facilities Booking record itself continues to hold the core location, resource and timing details for the main Facilities Booking.
Utilisation Report The Utilisation Report helps facilities managers and administrators understand how rooms and spaces are being used. By analysing Facilities Booking data, it highlights occupancy rates, usage patterns, and identifies underused areas. This supports better space planning, cost control, and resource allocation.
Waiting List The Waiting List feature in Facilities Booking enables organizations to efficiently manage demand for fully booked rooms by capturing and prioritizing user interest. When all eligible rooms are occupied, users can register their requirements on the waiting list, ensuring that no Facilities Booking opportunity is missed and that space utilization is maximized.
