Project Management

Multi-level project organization grouping related tasks under unified project banners. Supports hierarchical authorization structures, task grouping through Task Groups, standard task features (assignment, tracking, status management), project-level controls, risk logging, Gantt scheduling, move task coordination, and consolidated project reporting across all grouped tasks.

The link will open the Projects grid. It is a grid view which can be searched, sorted and customised as normal.

To add a new Project click New , to edit an existing Project click Edit . A pop up window will appear which will allow the creation or amendment of a Project.

Project
Name	The name of the Project.
Client Reference	The client reference for the Project.
Description	The description of the Project.
Details
Type	From the drop down select the Project Type - for more information see Project Types.
Category	From the drop down select the Project Category - for more information see Project Categories.
Status	From the drop down select the Project Risk Status - for more information see Project Risk Statuses.
Authorisation Model	From the drop down select the Authorisation Model - for more information see Project Authorisation Models.
Start Date	Enter the Start Date for the Project.
Finish Date	Enter the Finish Date for the Project.
Priority	From the drop down select the Priority - for more information see Project Priorities.
Project Manager	From the drop down select the Project Manager - this is connected to User Accounts.
Funding Source	From the drop down select the Project Fund Source - for more information see Project Fund Sources.
Owner	Auto-populated with the User Name of the person that raised the Project.
User Defined 1	User defined field.
User Defined 2	User defined field.
Original Budget	Enter the original budget - this will lock down when the Project is authorised.
Current Budget	Enter the current budget - this can be amended throughout the Projects life cycle until it is complete.
Estimated Duration	Enter the Estimated Duration of the Project in hours.
Sum of Task Est. Durations	Auto-calculated from the Time Records assigned to the Project.
Original Subcontractor Budget	Enter the original budget for subcontractors.
Current Subcontractor Budget	Enter the current budget for subcontractors.
Original Subcontractor Fees	Enter the original sub contractor fees.
Current Subcontractor Fees	Enter the current sub contractor fees.
Original Other Costs	The baseline budget for miscellaneous project costs not classified as labor or materials at project initiation (e.g., permits, inspections, equipment hire, waste disposal, professional fees). Represents the initial estimate before any variations or scope changes. Used as the reference point for measuring cost performance and calculating budget variances. This value remains fixed to preserve the original baseline, while Current Other Costs tracks actual spending and approved changes. Essential for demonstrating project cost control, identifying where additional costs arose, and analyzing estimation accuracy for future project planning.
Current Other Costs	The updated budget for miscellaneous costs reflecting approved variations, scope changes, and actual expenditure to date. Includes all non-labor and non-material costs incurred or committed as the project progresses. Used to track real-time project financial position and compare against Original Other Costs to identify budget variances. This value changes throughout the project as variations are approved, unexpected costs arise, or savings are achieved. Critical for accurate project forecasting, client billing when cost-plus arrangements apply, and demonstrating financial transparency to stakeholders.

Project Tasks can be set default values to speed up the process of creation. When a Project Task is subsequently raised the default values will auto-populate.

Cost Centre	From the drop down select the Cost Centre - for more information see Cost Centres. Available from 6.1.0.0 Cost Centres that have a Historic or Suspended state are excluded from this list.
Cost Code	From the drop down select the Cost Code - for more information see Cost Codes. Available from 6.1.0.0 Cost Codes marked as Locked against the Cost Centre are excluded from this list.
Asset	From the drop down select the Asset for more information see Asset Register.
Source	From the drop down select the Caller Source - for more information see Caller Source.
