Facilities Booking

Facilities Booking Overview is a landing page listing configuration entities that make rooms bookable and control booking workflow (for example: permissions, location set-up, types, groups, costs, inventory, catering, statuses, colouring, sorting, visitor options).

The tables below link to each set-up page; complete any remaining items before users create or manage Facilities Bookings in planners, grids and visitor workflows.

Meal Types If Catering id being provided for Attendees then they may have particular dietary requirements, these can be reflected with Meal Types.
Catering Menus Catering can be added to a Facilities Booking, Catering Menus allows items and Menus to be set up.
Inventory Families Inventory can be grouped into families to aid filtering and reporting.
Inventory Items Inventory items are objects or items that can be made available to a room. These can be classed as fixed - the item comes as part of the room and cannot be moved e.g. video conference equipment, or floating - can be booked to many rooms if they are available e.g. laptops.
Booking Item Status Booking Item Status is used to add a status to a line within a Facilities Booking. This can help a User to understand what state an individual Facilities Booking line is in.
Booking Event Types As a Facilities Booking goes through its life cycle circumstances and information about the Facilities Booking may change. This information can be recorded as Events
Booking Types A Booking Type can be added to Facilities Bookings to aid filtering and reporting e.g. Booking Type of Management Meeting.
Booking User Defined Lookup The User Defined Lookup can be used to create a drop down on Facilities Booking for any required purpose. The translation string would usually be changed to reflect the use of the drop down.
Colouring Sets Users viewing Facilities Bookings in the Planner can have Colouring Sets assigned to them. This Colouring Set can aid a Users understanding of the Facilities Bookings they are viewing.
Course Details A Facilities Booking may be made in relation to a specific course.
External Contacts External contacts can be added to Facilities Bookings. These are used for quick entry of people and company’s that frequently make Facilities Bookings with your organisation.
Location Sorting Location Sorting enables the sort order of Locations in the Planner to be defined.
Meeting Monitor Preferences For use with QED meeting systems to check in /out of a meeting.
Facilities Booking Preferences The Facilities Booking Preferences define how certain elements of the Facilities Booking module behave.
