Classification
Task Disciplines

A discipline is a Resource's area of expertise. In MRI Evolution, each Resource must have a primary discipline, and can have secondary disciplines (e.g., an electrician with plumbing experience).

Disciplines are also applied to Tasks to help with filtering, reporting, and selecting the right Resource for a Task.

Task Categories In order to manage and review Tasks, they can be organised into Categories. These categories can be used to help filter Tasks in the Helpdesk for rapid entry of a problem, or can be used to group and report on Tasks that are carried out.
Task Priorities MRI Evolution allows Tasks to be prioritised using an organisations own defined Task Priorities. Priorities can be used later to define Response Times and manage SLA targets for both PPM and Reactive Maintenance Tasks.
Skills

Available from 5.5.0.0.

Skills can be used to filter the list of available Resources based on particular skills and qualifications that they may have. It can also be used to create a register of skills and qualifications obtained by a company’s Resources.

Caller Sources Caller Source is used to record the method the Reporter used to contact the Helpdesk.
Fault Codes Fault Codes are a list of the reasons used to record what caused the fault / maintenance, for example wear and tear or vandalism.
Time Record Resolution The Time Record Resolution feature allows you to describe time record resolution. You can specify Name and Description for each entry. This system configuration feature helps ensure consistency when working with time record resolution across the system.
Time Record Assignment Types Assignment Types are part of Time Records within MRI Evolution. They can be used to flag and monitor assignment issues on a time record.
Task User Defined Lookup User Defined Lookup has been designed to create a spare drop down box on the Helpdesk that can be used for any purpose.
Time Record Expense Codes Expenses can be added to Resource Time Records to reflect any expenses occurred on a Task. Expense Codes can be used to groups and report on expenses.
Work Permit Classes MRI Evolution can generate Work Permits; these can be broken down into different classes. These Permit Classes can also be connected to a different Concept Report if required (the standard Concept Report used for Work Permits is called JC-003).
Task Templates
Instruction Sets Instruction Sets can be used for anything from generic guidelines for performing Tasks to a very specific set of instructions to be followed during Planned Maintenance for PPM Tasks. For Helpdesk Tasks, Instruction Sets may be used to list questions for the Helpdesk operator to ask the Caller to ensure the Resource has all the information required.
Instruction Set Groups Instruction Sets can be grouped together. This has a prominent use within the Payment Mechanisms module, but can also aid filtering and reporting.
Instruction Set Schedules

Instruction Set Schedules can be used for anything from generic guidelines for performing Tasks to a very specific set of instructions to be followed during Planned Maintenance for PPM Tasks. Adding the number of Staff required to carry out a Task and the Estimated Time and Costs related to a Task, will provide more accurate information for planning of budgets and Staffing levels.

Instruction Sets can also be used for reactive Tasks. The description forms the drop down Problem code from the Helpdesk and the Instruction Set Text can be used for prompting questions to aid the Helpdesk advisor.

Feedback Types Feedback Types are used from Instruction Set Steps and must be set up before Instruction Set Steps can be created.
Task Compliance
Compliance Types Creating a list of Compliance Types will enable clear definition of required Regulatory Compliances that a Task is adhering to. Once this list is created, the Compliance Types can later be attached to either an Instruction Set or an individual Task.
Regulations As part of Compliance monitoring, creating a list of Regulations will enable clear definition of the Regulations that a Task is adhering to. Once this list is created, the Regulations can later be attached to either an Instruction Set or an individual Task.
Health and Safety Documents A Health and Safety document will be attached to a PPM Task when the PPM is printed the Health and Safety Documents will be attached to the job card.
Status
Level Of Completion Levels of Completion (LoC) are simple textual flags that can be used to quickly identify what stage a Task is currently at. For example: 'In Progress' for a Task that has been started; 'Awaiting Parts' if a job is on hold while replacement parts are being delivered. These can be useful for filtering and reporting.
Time Record Status Time Record Status is used to record the stage or status the Resources is at on a Task. This can be useful if more than one Resource is on a Task and one is required to complete works before the second Resource can start.
State Change Reasons

Available from 5.5.0.0.

Create and maintain bespoke pre-defined State Change Reasons that users can choose from when prompted to do so.

PPM Status MRI Evolution allows PPMs to have a status connected to them. This allows PPMs to be passed to History if no longer in use, or Suspended if temporarily not required.
Instruction Set Status MRI Evolution allows Instruction Sets to have a status connected to them. This allows Instruction Sets to be passed to History if no longer in use, or Suspended if under review.
Preferences
PPM Issue Templates PPM Issue Templates in MRI Evolution automate the scheduling and issuance of Planned Preventative Maintenance (PPM) tasks, ensuring timely maintenance and regulatory compliance. This integration allows organizations to define rules for auto-Issuing PPM Tasks based on frequency, contract, and operational requirements.
Task System Preferences MRI Evolution has some Task preferences that effect the way that Tasks behave throughout the system.
Timesheet System Preferences

Available from 5.5.0.0.

Maintain settings to enforce default behaviour for the Timesheets page and the filtering of Resources for assignment throughout MRI Evolution and Evolution Connect for all users.

Request Preferences

Administrators can define the system behaviour related to Requests in order to:

  • Control the Item Types that will be available when adding Items to Requests

  • Control whether the system will try and create Tasks from the Line Items when the Item Type is Schedule of Rates

  • Set the criteria for how the system will split SOR items into different Tasks when Auto SOR Triage is enabled
